For appliance repair businesses

Appliance repair software for callouts, parts and technicians

Nothing about an appliance repair happens where you can see it. The fridge is in someone's kitchen, the parts are in a bag on a boda, and the money changes hands at a gate in Kireka.

The workshop leaves the building every morning

Two things go out of the door with each technician: stock, and the right to collect cash. A capacitor, a thermostat, a length of hose — carried out in the bag, some fitted, some brought back, none of it counted.

That is why this trade is so hard to run from a book. The work is real and the parts are real, but the record of both is a conversation at the end of the day, reconstructed by someone who has been on the road since seven.

Recording the work order where it happens — on the technician's phone, at the customer's gate — closes both gaps. Parts fitted come off stock there and then, and the payment is against a name and a date.

How a repair business runs it

  1. Open the work order as a draftOne service record per job: the customer, the address and the reported fault in the notes. It stays open in service history until the job is paid for.
  2. Charge the callout separately from the repairThe visit costs fuel and an hour whether or not the machine can be saved. Put it on as its own line so a wasted trip is still a recorded trip.
  3. Add parts when fitted, not when carriedThe capacitor goes on the record at the customer's house and leaves stock then. Whatever is still in the bag is still your stock.
  4. Finalise at the gateTake the payment on the phone — cash or Mobile Money — finalise, and send the receipt by WhatsApp before you leave. That is when the money stops being a claim.

Your work order list, ready to set

Pick "Appliance repair" at sign-up and this list is already there. The jobs go in as services at your own prices, and the spares go in as products.

Callout & diagnosis Fridge regas Compressor replacement Washing machine repair Air conditioner service Thermostats & capacitors Hoses, belts & seals Refrigerant gas

The last three are products, not jobs — they leave stock when fitted. Keep them apart from the labour, or you will never know whether a UGX 90,000 repair made you anything.

Transport was UGX 1,450,000 across 241 visits — about UGX 6,000 a trip, which the UGX 20,000 callout fee covers. It stops covering it the moment a technician goes back for a part he should have carried.

What PesaScope will not do for you

It will not schedule your day. There is no dispatch board, no appointment calendar, no route planning and no reminder that a customer in Namugongo expects someone at two o'clock. Bookings stay in your phone or your diary.

It has no job cards with statuses either — nothing moves through assigned, on site or awaiting parts. The single mechanism is a service record saved as a draft and finalised when paid. Your open drafts are your open work orders.

And it counts stock per branch, not per technician's bag. If you want to know what each man is carrying you still count it out in the morning. What the app tells you is what was fitted, what it earned and who did it.

Where a callout business leaks money

  1. The second visitWrong part carried, machine opened, trip repeated. It costs a full callout and earns nothing extra. You only spot the pattern if both visits exist as records.
  2. Cash collected in the fieldPayment taken at the door and handed in on Friday is three days in which nobody knows the number. Recorded at the gate, it lands on the day it happened and against the technician who took it.

Questions repair businesses ask

Can it schedule and dispatch my technicians?

No. There is no booking calendar, no dispatch board and no route planning. PesaScope records what was done and what was paid, not who is going where at what time.

Do you have job cards with statuses?

No ticketing system, and nothing moves through stages. A work order is a service record saved as a draft and finalised when the customer pays, so a job is either open or done.

Does it work at a house with no network?

The main app needs a connection, so a compound with no signal means writing the job up when you get back. The separate POS till app is the part that works offline.

Can I track what each technician carries in his bag?

No. Stock is counted per branch, not per person, so bag and van stock still has to be counted by hand. The record shows what was fitted on each job.

Can I see what each technician brought in?

Yes. Every record carries the employee who did the work, so you can total earnings per technician over any period — which is what most businesses use for commission.

How do I handle a landlord with several callouts a month?

Record each job as credit against their name. The balance and its age sit on the debtors list until they settle, and you can give them a dated statement for the month.
