A shop that behaves like a warehouse

A liquor store trades like a fast shop and stores value like a warehouse. Beer and waragi leave every day on a few hundred shillings a unit, while the whisky and wine on the top shelf sit for weeks holding hundreds of thousands each.

From the till they look identical. You know what came in this week, not which brands earned it. So you re-order what you remember, the fast lines run dry on Friday, and the slow shelf grows.

A week behind the counter

  1. Book the delivery inRecord what the distributor dropped, against the supplier, with the cost per unit. Costs move between deliveries, and the one you enter sets the margin.
  2. Sell by crate or by bottleTwo lines, two prices. Stock comes down as you save the sale, so the fast movers stay counted.
  3. Record breakage the same dayAn adjustment removes the bottle with a reason — damaged, expired, stolen, transfer or correction — and logs who entered it.
  4. Check the low lines before you orderSet a low-stock level per brand. Lines that cross it turn red on the stock list and on the dashboard, so Friday's order is written from a list.

Beer pushed 3.1m through the till and kept 240,000. Eight bottles of whisky, standing still all week, kept 136,000. The one bottle that broke cost what thirteen crates of beer earn.

What PesaScope does not do here

It does not track individual bottles. There is no serial-number or duty-stamp field, so when stock goes missing the app says the brand is three short, not which three. It does not verify stamps against URA, and it has nothing to do with age checks at the counter.

It will not order for you. Low-stock levels say which brands crossed the line you set; the call to the distributor is still yours.

What it does is keep a named count per brand and a dated record of every movement, including the ones that were not sales.

Where the money leaks

  1. "Put it on my name"Record what was paid and leave the rest against the customer. Their profile carries the balance and prints a dated statement.
  2. Party orders paid in advanceTake the deposit against the customer, not into the drawer. It is used up automatically on their next sale.
  3. Breakage nobody wrote downStock that leaves outside a sale and is never adjusted becomes a shortage, and shortages get blamed on staff.

Questions liquor sellers ask

Can I sell the same brand by crate and by bottle?

Yes, as two products with their own cost and selling prices. That is the only way the margin on singles stays visible.

Does it track individual bottles or duty stamps?

No. There is no serial-number or stamp field. PesaScope counts by product line, so it tells you a brand is short, not which bottle went.

How do I record a broken bottle?

As a stock adjustment with the reason Damaged. It leaves the count logged with your name and the date.

Will it warn me before a fast line runs out?

Set a low-stock level on the brand. It turns red on the stock list, shows on the dashboard, and can email you if notifications are on.

I run a store and a small depot. Can I keep them apart?

Yes. Each branch holds its own count of the same product, and you can view one branch or all of them together.

Do I need a barcode scanner?

No. Items are picked from your list by name, and nothing in PesaScope requires scanning.
